FEES TERMS AND POLICY

1. INTRODUCTION

These terms and policy apply to all students registering for an AEE course of study.  

By making a payment towards your tuition fees, you agree to abide by the terms and conditions of this policy. For the avoidance of doubt, this means that by paying your Acceptance Fee or an instalment of your program Fees you are agreeing to the terms and conditions of this policy.

It is therefore important to make sure you have read and understood this policy before you make a payment.

You are required to enrol for access to the relevant part of a course. To complete your enrolment, you must log in to your account on the AEE Virtual Campus and complete an enrolment task to:

  • Ensure that we are holding the correct personal details for you
  • Agree to abide by our regulations and policies
  • Pay your tuition fees or confirm who is paying your fees

2. LIABILITY

In the event of a student fails to make payment in respect of the fees of the program, the student will be held personally liable for the payment.

Students are personally liable for the payment of their fees throughout their programme of study, even where they have a sponsorship agreement or have arranged for AEE to receive payment on their behalf of an employer. If the sponsor fails to pay, the student will become immediately liable to pay fees.

Students are liable to pay fees from the start date of their programme of study. Students may set up an instalment plan to pay their fees in instalments. Students who fail to pay their tuition fees will be withdrawn from their pathway.

3. PURPOSE

The purpose of this policy is to set out the tuition fee liability and responsibilities that applies to students upon enrolment on a module or course/programme of study.

4. POLICY

All students bear a personal liability for the tuition fees associated with any module or course/programme of study for which they enrol. 

Students who are considering leaving their programme of study are encouraged to first make contact with us for advice and guidance before making a decision to leave.

In all cases, where a student withdraws from or discontinues their studies, the date of withdrawal/discontinuation/leave of absence is used by AEE in calculating tuition fee liability.

AEE offers students the opportunity to pay fees in instalments via an agreed payment plan. Students who withdraw, discontinue, or take a period of leave of absence are required to honor their agreed payment plan until their tuition fee balance is cleared.

If it is determined that a student has over-paid tuition fees to the Institution, or if a refund is approved, any refund amount will be first offset against any debt the student has to the Institution.

5. RESPONSIBILITY FOR PAYMENT

Tuition fees for each academic programs are payable at registration. Please note that:

As a student, it is your responsibility to ensure that you have sufficient funds to pay the tuition fees by the due date. AEE has the right to refuse the option of paying in installments to anyone with a history of late payments.

6. NON-REFUNDABLE DEPOSIT

When it is required, we will also charge students a non-refundable deposit as a condition of the offer of a place. This information will be available at application stage.

AEE charges tuition fees on program-by-program basis and the fees are published on the website.

Tuition fee charges may differ from one pathway of study to another and reflect the resources required to deliver that programme.

7. AFTER THE PAYMENT HAS BEEN RECEIVED BY US

You will receive all course-related emails and your login details from your dedicated Student Adviser, prior to the course start date. This email will provide you with all the instructional information needed to ensure a smooth transition onto our AEE Virtual Campus and an enjoyable learning experience.

Your course material is delivered online, this means you will receive NO physical copies of materials. However, once you gain access to the AEE Virtual Campus, you can access your course material, message boards, student success tracking and much more. 

8. CONFIRMATION OF PAYMENT

We encourage our students to make use of our payment gateway. Payments made via our payment portals are instantaneous, while payment made via electronic funds transfer can take anything up to five (5) days to reflect in our account. Once payment is received a payment receipt will be emailed to you from our finance team.

Payment is only deemed completed when AEE has received the cleared funds in its bank account. Payment can be made by electronic transfer of funds into AEEs bank account, by banker’s draft or by debit or credit card. AEE does not accept any payment by cash or personal cheque.

9. ASSESSMENT OF FEE STATUS

Prior to enrolment at AEE, a student’s fee status will have been assessed as “UK”, “European Union” or “Overseas”. This assessment is based upon the students. This is also required for statutory reporting to UK governmental bodies. If you do not meet the criteria required to be classified as a Home (UK) student, then you will be charged an Overseas extra tuition fee of £250.

10. ENROLMENT 

Enrolment at AEE is the process of registration that is completed in full and offer holders officially become students of AEE. 

The deadline to enrol is the 7th calendar day before the start date of a pathway program and will be communicated to offer holders via an email invitation to enrol.

All students are required to pay their tuition fees in full prior to the start of the pathway program.

Payment in full, or an agreement to pay in instalments, during online enrolment is a pre-requisite of enrolment. Any outstanding debts owing to AEE must be cleared in full before commencement of the enrolment process. 

They will only be entitled to refund if they withdraw before the course commences. If they withdraw after the start of the course, they will not be entitled to any refund.

Failure to complete enrolment by the enrolment deadline date may result in offer holders losing their place of study or continuing students being withdrawn from studies.

If for some unforeseen reason, you have made payment, but are unable to begin the pathway, you need to contact us, and we will enrol you in the next program cohort. Please note we cannot guarantee that the pathway you enrolled on originally will be available for you would like to register for it. If this is the case, we will provide you alternate pathway options or provide you with a full refund of the fees if is applicable to you.

11. CURRENCY

All fees published by AEE are in British pounds sterling (GBP, £). Fee information will be published in other currencies only where explicitly required by regulatory or external bodies. Any publication in currencies other than pounds (GBP, £) will be based on the exchange rate applicable at the time the amount is calculated. AEE cannot be held responsible for changes in global financial markets or currency exchange rates. 

12. INSTALMENT POLICY AND INSTALMENT FEE

For certain courses you may choose at the time you make your course booking either to pay the course fee in full or to pay by instalments.

If you choose to pay by instalments, the due date for subsequent payments and any refunds due if you choose to withdraw from the course, are set out in our fee information and refund policy.

13. FEE REDUCTIONS

All fee reductions are awarded subject to terms and conditions. The 20% payment discount applies to students who pay the overseas rate and to public servants, NHS workers, military, veterans, or police. To claim this discount, you must provide proof of your current or former role. please contact us to find out more about AEE’s discounts.

14. PAYMENT OPTIONS

For security and fraud prevention AEE uses third party processors to process all payment transactions. These are: WordPress for hosting this website, and Stripe for processing the payments transactions. Your personal data will be used in accordance with the AEE’s Privacy Notice.

Credit/Debit card payments: In order to make a payment via the web you will need your: unique student number; and date of birth. If you are making a payment on behalf of another person, you will need to ask them for this information first.

It is your responsibility to ensure the student’s details are correct. We accept no liability for any payments that are misallocated where you have given incorrect information. 

At AEE you can pay the fees in full before the program start date or contact us for a part payment plan. Course pathway payments can be split into two parts, and for Academy and School pathways a three-part payment plan is available. The payment plan options incur an administrative fee of 3% of the total pathway fee. Please get in touch with a Customer Adviser or contact us to discuss your payment options.

You can pay online via our secure payment gateway or make payment via electronic bank transfer. For transfers, AEE banking details can be found on your invoice once you have completed registration. Please get in touch with a Customer Adviser or contact us if you have any payment queries. Remember that your participation in any of the AEE pathways is only secured once you have made the minimum payment necessary to complete the registration process.

14.1 Pay your fees by instalments. 

If you decide to pay your fees by instalments, the following terms apply:

UK Students on the academy and school pathways can sign up to a three (consecutive) monthly instalment plan as part of the on-line enrolment process. There is a 3% administration charge added for choosing this option. Payment will be made in three equal monthly instalments, and you must pay 20% of your tuition fees as the first instalment using a debit or credit card online. You must then set up a recurring card payment schedule. This option will only be available up to the enrolment deadline date.

Please note that enrolment is not complete unless you have a valid recurring card payment schedule in place.

AEE retains the right to impose a late penalty charge of £12 for any fees not paid by the due date.

On the other hand, EU or any other international students are required to pay 50% deposit and the 50% balance must be settled in two (consecutive) monthly instalments as part of the on-line enrolment process. In this case, there is a 3% administration charge added for choosing this option. Payment will be made in three equal monthly instalments, and you must pay 20% of your tuition fees as the first instalment using a debit or credit card online. You must then set up a recurring card payment schedule. This option will only be available up to the enrolment deadline date.

14.2 Payment methods.

You should not ask your fee sponsor, other third party or a family member to transfer maintenance or other funds to us if they are not for payment of Tuition Fees or other charges payable to us. We are unable to refund these funds to you and will return them to the original payee, debit or credit card online payment facility.

If you are a currently enrolled student, you can view your statement and pay your Tuition Fees by card or PayPal through (Dubsado payment portal) You will need your user credentials to gain access to the portal.

If you are making a payment on Directly into AEE’s bank account (by internet, telephone banking or from any bank counter); please, quote the following information:

Purchase order as payment.

we do not accept Purchase Orders as a form of payment. All payments for course fees need to be received by the course start date to participate in the course.

IMPORTANT

You should ensure that you obtain a receipt which confirms the transfer as we may need to refer to this. Please note that bank charges may be deducted from your payment by the banks before it is credited to our account. This may result in an underpayment being received and you will be required to pay any such difference to us.

14.3 Failure to pay your tuition fees.

All students are required to abide by the Tuition Fee Policy and to pay their tuition fees by the enrolment deadline if paying in full, or by the instalment due dates if an instalment plan has been set up. Students who consider themselves at risk of being unable to pay, or who become debtors, must discuss their situation with the Finance team at the earliest opportunity.

If you fail to pay in accordance with the Tuition Fee Policy or become a debtor:

• You will be suspended and denied access to your pathway and all online material

• You may not be allowed to enrol in further pathways until any outstanding tuition fees are paid in full.

• You may be excluded from AEE pathways.

• We will withhold any results, certificates of award or transcripts for which you may be eligible until all outstanding tuition fees and where relevant, any accrued recovery costs, have been paid in full.

• We will use external agencies to recover debts.

• We will charge you £12.00 if your instalment payment is not received by the agreed due date or your payment is returned or recalled by your bank.

• If you default on an instalment, we reserve the right to terminate an instalment payment plan upon which the full account balance will become due.

• If you withdraw or adjust your course, we reserve the right to terminate an instalment payment plan, if any.

Please note that we reserve the right to refuse payment proposals that we do not think are appropriate and, in such circumstances, you will not be entitled to access online materials.

14.4 Error message, or other problems when making a payment. 

Please ensure that all information entered when making payment is correct. If you have accurately populated the information and the issue persists, please contact us. We also advise checking with your bank to ensure they have authorized the payment.

15. CHANGES IN STUDY

Only new students can defer their place. Requests for deferral must be made in advance, and within 2 weeks of the start of term. If you are a UK student and have not commenced your studies and wish to defer your place, you should contact the Customer Support Team.

You will normally only be permitted to defer your course once and for a period of no longer than one year. You may request a full refund until the day the pathway is released. We do not guarantee that future pathways will be offered and if you choose to defer, you do so at your own risk. For more information, please reach out to a Customer Adviser.

The deposit and tuition fees paid for students will be forfeited If the deferral was requested after the 2-week grace period. 

Students who wish to withdraw or intermit from their studies should submit a written request by email to the Student Support team. You must do this as soon as you have made your decision so that you limit the amount of tuition fee liability you are required to pay. If you decide to withdraw from your programme of study, you will lose your access rights to any learning materials.

15.1 Student fee liability due with changes in study.

Students are entitled to a 14-day cooling off period, during which students may choose to withdraw from AEE without incurring any fees. This cooling off period commences when the student enrols and lasts for 14 days from the date of enrolment.

15.2 change in payment plans

Once payment is received and allocated to your account, we are unable to change the payment plan.

16. FEE REFUNDS

AEE is committed to the fair and transparent application of fees and charges, including the processing of refunds as follows. You are entitled to request for a refund for the following reasons:

  • overpayment of your tuition fees.
  • withdrawal from the programme.
  • Your entitlement to a refund will depend on several factors:
  • The date which the change in your study commenced.
  • Whether you have any outstanding debts with AEE – the amount owed will be deducted
  • from the refund.
  • The date when your payment was received does not exceed 6 years.

16.1 If you are entitled to a refund, the refund will be:

  • Processed within 14 working days of receipt of a correctly completed form (subject to authorisation by AEE).
  • Made to the original payer.
  • Made to the country from which the payment originated.
  • Paid back to the original debit/credit card used to make the original payment (except when the original payment was made via PayPal).
  • Paid to the original payer’s bank details provided when the original payment was made via PayPal (please note that we will not be responsible for any exchange rate differences or service charges that may arise).
  • Be calculated in Pounds Sterling; be for the amount specified by AEE as being refundable. AEE is not responsible for any fluctuation in exchange rates or bank charges, and refunds cannot be made by cheque or in cash.

Refund requests which are based on extenuating circumstances must be accompanied by documentary evidence, such as a medical or death certificate, or a refusal notice issued by the official authorities. If the request is due to a transfer, a letter confirming acceptance to another UK institution must be submitted.

In accordance with UK anti-money laundering laws, payments made by anyone other than the student cannot be refunded to the student, but must be returned to the original payer, except in the case of payments made by cash or banker’s draft, in which case the refund will be made by bank transfer. 

If a refund is granted, you will I receive it within seven (7) working days once confirmation of banking details and all necessary documentation is received.

17. FUNDING

Unfortunately, AEE is unable to offer funding, bursaries, or scholarships. Our online pathways are designed at helping working professionals help themselves, and for this reason, there is no application process for funding. Nor are there any entry requirements. Many students, those in full-time employment have approached their employers for part or full funding to assist them in upskilling. Others have sought government funding to cover part or some of the costs. Alternatively, we do offer a variety of payment plans for our pathways. 18. INFORMATION ON A STUDENT’S DEBT 

Your information may be released or exchanged between different offices of AEE in the legitimate course of student debt collection activities. An example of this would be informing a pathway coordinator of the outstanding debt.

If the student falls into arrears of payment to the AEE, we reserve the right to disclose adequate, relevant, and sufficient personal data to a third party to enable the debt to the AEE to be pursued and recovered.

19. COMPLAINTS

If you are not satisfied with a decision taken regarding the fees you have been charged, the arrangements for payment, refunds or any sanctions imposed for non-payment, you may submit a complaint following the Complaints Procedures.

20. CANCELLATION BY AEE

Whilst every effort is made to avoid changes to our programme, AEE reserves the right to withdraw or cancel any course. If, for any reason, AEE cancels a course, all course fees will be returned in full.

We cannot, however, reimburse the cost of any pre-booked travel arrangements and suggest that you might like to consider travel insurance to cover any significant costs incurred.

21. VARIATION OF CONDITIONS

AEE may, vary the terms and conditions contained in this Fees and Cancellation Policy, and you will be notified about those changes as may be necessary to comply with any law, or regulations.

AEE additionally reserves the right to make an addition, amendment, or alteration to these conditions as is deemed necessary by AEE.

22. GOVERNING LAW

These terms and conditions are governed by and construed in accordance with the laws of Scotland.
